OPENING A SHARED MAILBOX IN YOUR OUTLOOK MAIL CLIENT

CONTEXT

This guide will help you if you have been notified that you’re now the owner or member of a shared mailbox (maybe for a research group, or for a new function that was assigned to you) and you want to be able to access the email exchanges within it.

The procedure will be slightly different depending on the client you’re using (outlook app on your desktop, outlook web client in your browser).

Outlook Desktop Client

Open your Outlook app and right-click on the folder that has your name on it, then select “Account Settings” as in the example below:

In the new window, click on the “Default Account” on the top left (the one with your name, marked “1” in the image below), then on the bottom left side of the window click on the “+v” button (marked “2”), then “Open Shared Mailbox” (marked “3”).

Search for the name of the new mailbox and confirm. You will now be able to open the folder of this mailbox from your Outlook app.

Outlook Web Client

Open your browser and go to outlook.office.com/mail/ (marked “1” in the image below).

Right-click on the “Folders” tab on the left, and select “Add shared folder or mailbox”. A dialogue box will appear prompting you for a name or a mailbox address. Enter the one that you wish to open, click on the result that appears in the drop-down menu and confirm.

You will now be able to interact with the desired mailbox.
